Rx2Go Business OS (the “Service”) is a workplace platform for teams and organizations — team messaging and voice/video, mail, calendar, tasks, and related business tools. This Privacy Policy explains how Rx2Go (“Rx2Go”, “we”, “our”, or “us”) collects, uses, shares, and protects information when you use the Service on the web and through our iOS and Android apps.
Rx2Go Business OS is a business-to-business product. In most cases your employer or organization provides the Service to you and acts as the controller of the data processed in its workspace; Rx2Go processes that data on the organization’s behalf. Your organization’s own policies may also apply.
1. Information We Collect
Account & profile
- Name, username, email address, and (optionally) phone number
- Job title/position (optional)
- Date of birth (required) — collected to verify your age (see “Age verification” below)
- Password (stored only as a salted hash) and authentication/session data
- Profile photo, if you add one
Age verification
We require your date of birth when an account is created in order to verify your age. The Service is for adults only — accounts for users under 18 are not permitted, and a date of birth indicating an age under 18 is rejected at sign-up. We use date of birth to confirm eligibility and, where permitted, to recognize work milestones (e.g. birthday greetings); we never use it for advertising.
Content & communications
Content you create and exchange in the Service: messages and direct messages, files and attachments, and audio/video in voice rooms and calls (real-time media is carried via our voice infrastructure, LiveKit). This content is stored to provide the collaboration features and is accessible to other members of your workspace as you direct.
Connected accounts (only if you connect them)
If you choose to connect a Google account to use the in-app Mail and Calendar features, we access, with your authorization:
- Gmail (scope
gmail.modify) — to read, send, organize, and manage email within the Service on your behalf. - Google Calendar (scope
calendar) — to read and manage your calendar events within the Service.
We use this access only to provide the features you enabled. We do not use your Gmail or Calendar data for advertising, and our use complies with the Google API Services User Data Policy, including its Limited Use requirements. You can disconnect at any time.
Telephony (if your organization enables it)
Where your organization uses the business telephony features, we process calling and SMS data (phone numbers, call and message content and metadata, and registration details required for A2P/10DLC messaging compliance) through our telecom provider (Twilio) to deliver calls and messages.
Activity & productivity (if your organization enables it)
Where your organization uses the activity/time-tracking module, we collect work-activity metrics for that purpose. The mobile apps do not capture screenshots; screen capture exists only in the desktop agent and only where the organization has enabled it.
AI features
When you use AI-assisted features, the relevant content you submit is processed by our language-model provider to generate the requested output. It is not used to serve you ads.
Notifications & diagnostics
- If you enable notifications, we process a device push token (and, where applicable, email/SMS) to deliver alerts.
- We collect limited diagnostic and aggregate usage data to keep the Service reliable and secure.
2. How We Use Your Information
- Provide and operate the platform (messaging, voice/video, mail, calendar, tasks, telephony)
- Authenticate users and secure accounts and workspaces
- Deliver notifications and communications you have enabled
- Maintain, troubleshoot, and improve the Service
- Comply with legal, regulatory, and messaging-compliance obligations
3. How We Share Your Information
We do not sell or rent your personal data. We share information only as needed to operate the Service:
- Within your organization’s workspace — content is visible to the members you share it with and to your organization’s administrators.
- Service providers / sub-processors — e.g. Google (for the Gmail/Calendar integrations you connect), Twilio (telephony), our AI/language-model provider (for AI features you use), and hosting/infrastructure providers, each only to perform their function for us.
- Legal — where required by law or to protect rights and safety.
4. App Tracking Transparency
The data above is used only to operate and improve the Service (first-party use). It is not used to track you as defined by Apple’s App Tracking Transparency framework — we do not access the IDFA, use no advertising or attribution SDKs, and do not link your data with third-party data for advertising. Accordingly, the app does not display, and is not required to display, the App Tracking Transparency request.
5. Data Retention
We retain information for as long as your organization’s account is active and as needed to provide the Service and meet legal obligations. When an organization or account is closed, data is deleted or anonymized in line with our agreement with the organization. Administrators can delete content within their workspace.
6. Your Rights and Choices
- Access, correct, or update your profile information
- Disconnect connected Google accounts and revoke notification, microphone, or camera permissions in your device/account settings
- Request deletion of your account and associated data (subject to your organization’s instructions, since the organization controls workspace data)
- Request a copy of the personal data we hold about you
7. Security
We use technical and organizational measures to protect your information, including encryption in transit and access controls. In the event of a data breach affecting your information, we will notify affected users and organizations without undue delay.
8. Children’s Privacy
The Service is a workplace tool intended for users 18 years and older and is not directed to children. We do not knowingly collect information from minors.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, by an in-app or email notice.
